What it is for

The customer picks a time on their own, with no login, through a calendar link. Canceling and rescheduling also work through a link.

Who can do it

The customer does not need an account. To get and set up the link, the person needs access to the Calendar Settings (creating and configuring a calendar is for the Owner or Admin). It appears if the agency has enabled the Public booking page submodule for the organization.

Where to click

In Calendar, Settings tab, choose the calendar. Under Public link use Copy link (“Link copied”). The format is /book/<organization code>/<slug>; the old /book/<slug> also opens. If the agency uses its own domain, it opens there.

Step by step

1

Copy the link

Click Copy link and send it to the customer, for example on WhatsApp.
2

Review the questions (optional)

Under Booking questions, Add question (short text, long text, email, phone, list or checkbox). Without questions, /book asks only for name and WhatsApp. The answers are kept on the appointment.
3

Test by opening the link

Open it in an incognito window and check the times.

What the customer sees

  1. WITH WHOM, if there is more than one professional (or Any professional).
  2. Choose a time, with See next free days. Times appear in the time zone shown in the footer.
  3. Continue, then Your details: name, phone, email when requested and Note (optional).
  4. Book (Confirm booking). “Booked!” appears with Add to my calendar, and the confirmation arrives on WhatsApp.
If the calendar charges up front, Pay … and confirm appears (the amount is shown on the screen). Confirmation and reminder messages can carry the link to reschedule. There is also a cancellation link.
  • Cancel: the page shows Cancel appointment, a “Cancellation reason (optional)” field and Confirm cancellation. Afterward, “Appointment cancelled” appears with Book again.
  • Reschedule: the customer picks a new time and clicks Confirm new time. “Appointment rescheduled” appears with the New reference.
The confirmation also says: “Need to change? Reply to the WhatsApp message.”

What happens next

The appointment goes into the Calendar like the others. With Google connected, it becomes an event there.

Common errors

  • “That time was just taken”: someone confirmed first. The details stay filled in; choose another time.
  • “Calendar not found”: check the link.
  • “This booking link is out of date”: ask for the new link.
  • “Appointment not found”: “The link may have expired or been changed.”
  • “No available times in the coming days.”: check the availability.
  • “This professional is no longer available through this link”
  • “We could not confirm”: “Your time slot has not been reserved yet.”
