What it is for
Availability says when the calendar accepts appointments. It is what shows the free slots in the Calendar and on the public link.Who can do it
Only Owner and Admin edit availability. Other roles see the message “Ask an administrator”. It shows up if the agency enabled the Calendar module for the organization.Where to click
Open Calendar and go to the Settings tab. Choose the calendar from the list. Availability, questions, closed days and check-in show up on that screen.Step by step
1
Adjust the weekly ranges
Under “availability”, drag to create or adjust ranges on each day. Days with no range stay “closed”. For an exact range, use Add range and fill in Start and End. The end must be after the start.
2
Set the rules
Adjust Duration, Interval between slots, Minimum notice and How many days ahead. “Availability saved.” shows up when it is saved.
3
Set up each professional
Under Availability per professional, each person uses the calendar’s availability or has their own ranges (turn off “Use the calendar availability”). Check Allow “Any professional” on the link if you want. Whoever has no availability does not show up on the link.
4
Close holidays and dates
Under Closed days and limit, turn on Close on national holidays. For a break or a local holiday, use Block dates: fill in From, To, a Label and the calendar or professional. To open a holiday, use Open this day.
5
Daily limit (optional)
Under Daily maximum, fill in Per calendar or Per professional. Empty means no limit.
What happens next
The free slots change in the Calendar and on the public link. Appointments that already exist stay. In the Week view, the days show ”% booked”, “free” or “no schedule”. The calendar’s time zone appears as “Calendar time zone”. Dates and times appear in the time zone of the browser of whoever is using it.Common errors
- “The range end must be after its start.”
- ” does not appear on the link: no availability.” Give that person ranges.
- “Could not save. Nothing was changed.” Try again.
- “No free slots”: check closed days, minimum notice and the daily limit.
