What it is for

Two front desk tools, set up per calendar:
  • Check-in: a customer with an appointment lets you know they arrived.
  • Walk-in line: people without an appointment join through a QR code or link, get a ticket, and wait their turn.

Who can use it

For the Walk-in line, Supervisors can also edit; Operators can only view. For Check-in, the Owner and Admins set it up on the Settings screen. It appears if the agency enabled the Agenda module for the organization.

Where to click

In Calendar, go to the Settings tab and choose the calendar. The Check-in and Walk-in line sections are in its settings. If the line is on, the Line view appears next to Day, Week, Month, and List.

Step by step: check-in

1

Turn it on and set the window

Under Check-in, turn it on and enter Minutes before the time (from 5 to 240) and Minutes after the end (from 0 to 240).
2

Use the front desk QR

Under Front desk QR, use Download, Print, or Copy link. With check-in on, the reminder gets the line “Arrived? Let us know here”.
3

Follow along in the calendar

Open the appointment: Mark arrival, Serve, and Undo arrival. You can see who let you know: through the reminder link, through the front desk QR, or marked by the front desk.
The customer taps I’m here (through the link) or types the phone number on the appointment on the “Here for your appointment?” page (through the QR). Then they see “Done, we let them know!”.

Step by step: walk-in line

1

Turn on the line

Under Walk-in line in Settings, set Maximum in line (1 to 500) and “Send ‘almost there’ when” (0 to 10; 0 = off). Click Save and then use the Line QR code (Download, Print, Copy link). Change QR invalidates the printed code.
2

Open today's line

In the Line view, click Open today’s line. Close the line stops new people from joining.
3

Serve people

Use Call next, then Serve and Finish. Other actions: No-show, Back to line, and Remove. For people who arrived without a phone, use Add.

What happens next

A customer who joins the line sees the Your ticket page with their position, which updates by itself, and gets the “it’s your turn” notice on WhatsApp. The numbers appear in Reports, under Walk-in line: Joined, Served, Gave up, No-shows, and average wait.

Common errors

  • “It’s still early. Arrival check-in opens at …” / “The time to check in has passed.”
  • “We couldn’t find an appointment today for this number.”
  • “Line turned off”: turn it on in the service settings.
  • “The line is full right now.” / “This WhatsApp is already in line.”
  • “The line is closed right now.”
  • “Too many attempts. Wait a minute and try again.”
