What it is for

Tasks keeps follow-ups, reminders and what each person needs to do, with a due date and an assignee. A task can be linked to a contact, a deal or a conversation.

Who can use it

  • Create and edit tasks: anyone with access to the screen.
  • The Team tab is only for the Owner, Admins and Supervisors. For everyone else, The Team view is for the Owner, Admins and Supervisors appears and the screen shows their own day.
  • Delete: the Operator can only delete tasks they created themselves.

Where to click

In the menu, open Tasks. The tabs are My day, All, Team and Calendar. In All you can use List and the filters Status, Priority, Type, Assignee, Owner, Follower and Client. The New task button opens a drawer on the right side.

Step by step

1

Open the drawer

Click New task. You can also create one from the contact’s record (Task button) or from the ⋮ of a conversation.
2

Give it a title

Write in the title field, for example “Call customer”. Without a title, the Create button stays disabled (as it does with an invalid due date or a reminder in the past).
3

Set the due date and reminder

Under Due date, choose date and time. If you want a notice, fill in Reminder with a future time. To repeat, use Repeat: Every day, Every week, Every month or Every N days. Repeating requires a due date.
4

Choose who does it

Under Assignee, select the person (or leave Unassigned). Owner comes as System default. Under Followers, click Add for people who only follow along.
5

Link it to the customer and finish

Under Linked to, search for the contact. Adjust Status (To do, In progress, Waiting), Priority (Low, Medium, High, Urgent) and Type (General, Call, Follow-up, Meeting, Document, Email). Write the Description if needed and click Create.
Shortcut on the My day tab. Type a sentence like “Call Mariana tomorrow 10am about installments @Rafael”. The system understands the type, the contact, the date and the assignee.

What happens next

  • The task appears in Tasks, grouped as Overdue, Today, Tomorrow, This week, Later or No due date.
  • To finish it, open the task and click Complete. There are also Postpone, Duplicate and Reopen. If there are open checklist items, the screen asks Complete anyway.
  • In Team, drag the card to another person to hand over the task. In Calendar, drag it to a day to change the due date.
  • If the task repeats, when you complete it the next one is created with the new date.
  • Dates and times appear in your browser’s time zone.
