What it is for

The Kanban shows each deal as a card in a column. Each column is a stage of the pipeline, for example from “new” to “closed”. You see how much money is open and what needs attention today.

Who can do it

  • Create a pipeline and create or change stages: Owner and Admin. For the others the screen says Only Owners and Admins create pipelines and stages.
  • Create deals and move cards: whoever has access. Anyone who is not a manager can only touch deals they are responsible for: You can only move deals you’re assigned to.
  • Anyone with read-only access sees Your Kanban access is read-only.
  • Permanently delete a deal: Owner and Admin.

Where to click

In the menu, open Kanban. At the top are the pipeline selector (Choose pipeline), the “open” summary, the Board / Forecast switch, the Assignee filter, the Stages button, the Board menu, the Search deal… search and New deal.

Step by step

1

Create the first pipeline

With no pipeline, the screen shows No pipeline yet. Click Create pipeline, write the Name (for example Sales or After-sales), choose the Color and click Create pipeline. The pipeline starts empty.
2

Create the stages

Click Create stages (or Stages). Type the name of the new stage and click Add. Drag to change the order. Mark one stage as Won and another as Lost to close the deal when it enters them. You can set an SLA (maximum time in the stage) and a color.
3

Create a deal

Click New deal. Fill in the Title, the Value, the Stage, the Contact and the Assignees. Under Next step, give the Action and When. Click Create deal. You can also create one with the Deal button on the contact card.
4

Move the card

Drag the card to another column. Deal moved shows up with Undo. When you drop it on a Won stage, enter the Final value and confirm. On a Lost stage, choose the reason and click Confirm loss. To go back, use Reopen.
5

Filter when the pipeline is big

Use Assignee, the search or Focus today, which lists the deals that need you (overdue next action, stalled, past deadline).

What happens next

  • The summary shows the total open value and the number of deals.
  • Every stage change is kept in the deal’s History.
  • In the Forecast, you see the expected revenue, the conversion per stage and the loss reasons of the last 30 days.
5,000-deal limit. The board loads at most 5,000 deals per pipeline. If there are more, the notice Showing 5,000 of N deals — use the filters to see the rest. shows up with the Filter button, which opens the assignee choice. When the screen does not know the total, the summary shows 5,000+ deals.
