# How to bring contacts from another system

> Use the wizard to bring contacts, pipeline deals, tags and owners from another system, step by step and with a review before saving.

## What it is for

You used another system and want to move your customers to STChat without typing them in. The **Bring contacts from another system** wizard brings contacts, pipeline deals, tags, fields and owners. Nothing is saved before you review it.

If you only have a simple spreadsheet of contacts, also see [How to import contacts by CSV](https://docs.stchat.app/en/subcontas/importar-contatos-csv.md).

> [!NOTE]
>
> The wizard accepts only a **.csv** file. The file picker does not open other types. If your system exports to Excel, open the file and save it as CSV first.

## Who can use it

Only the Owner, Admins and Supervisors can import. For other roles the screen shows the notice **Only the Owner, Admins and Supervisors can import.**

Undoing an import is up to whoever imported, the Owner or an Admin.

## Where to click

The wizard opens in a window over **Contacts**, at the address `/contacts?importar=sistema`. You get there in two ways:

* In [First week](https://docs.stchat.app/en/subcontas/primeira-semana.md), at the **Bring in your contacts** step, choose **I'm coming from another system** and click **Continue**.
* Through the address above, if someone on the team or at the agency sent you the link.

## Step by step

**1. Source**

Under **Where do your contacts come from?**, choose the card of the system you exported from. If you only have a file, choose **Spreadsheet** (**CSV or Excel** appears as a hint on the card, but the file must be CSV). **Phone address book** opens only in the app. Click **Next**.

**2. How to export and Files**

The screen shows **How to export**, with the steps to get the file out of the other system. Then, under **Your files**, click **Drop the file here or click to choose** in the **Contacts** box. When the source has deals, there is another box, **Deals (optional)**. The limit is up to 50 thousand rows per file. Uploading starts right away and **Uploading… and reading the columns** appears. To stop, use **Cancel the upload**; to swap, **Remove the file**. When the file is read, the screen confirms how many rows it has and which source it looks like it came from.

**3. Map**

The system suggests how to link each column of the file to a contact field. There are four tabs: **Columns**, **Pipeline**, **Tags** and **Owners**. In **Columns**, change the **Contact field** of each **File column**, create a new field or mark **Don't import**. In **Pipeline**, create a pipeline like the one in the other system or use one that already exists. In **Tags**, leave **Create the tags that don't exist yet** checked. In **Owners**, choose who the owner is for each name; anyone without a match stays **Unassigned**.

**4. Review**

Under **Review before importing** you see how many contacts come in, how many are new, how many already exist and will be updated, and how many are repeated in the file (merged). You also see deals, owners found and invalid phone numbers. Choose the **Legal basis (LGPD)**, which is required. Check or uncheck **Update people who already exist** (it only fills empty fields; tags are added, never removed) and **Don't trigger automations for the imported contacts**. If the file has consent, the screen summarizes who accepts, who opted out and who has no record.

**5. Import**

Click **Import N contacts**. The import runs in the background and can be undone within 24 h. On a large base, the screen warns that it takes about 15 minutes.

## What happens next

The screen shows **Importing…** with the progress. You can close it: the notice that it finished appears in the system and on your phone.

At the end **Import finished** appears, with contacts created and updated, deals in the pipeline, owners not found and rows with errors. Click **See the imported contacts** to open the list.

**History.** All imports stay under **Imports**, at the address `/contacts?lista=importacoes`. You also get there through **See imports**, in the first step of the wizard. The table has **Date**, **Source**, **Who did it · numbers** and **Status** (**Completed**, **In progress**, **Stopped** or **Undone**). On each row:

* **Undo (until …)**: removes the contacts and deals that were created and returns the updated ones to how they were. Contacts who have talked since then stay, with a notice.
* **Download errors**: downloads a CSV with the rows that did not come in and the reason. Fix them and import again.
* **Resume**: continues an import that stopped, from where it stopped.

Dates appear in the time zone of the user's browser.

## Common errors

* **Bringing contacts from another system isn't available yet.** The feature is not active for you yet. Talk to the agency.
* **Couldn't load the sources.** Click **Try again**.
* **This file does not open.** The file was not accepted. Export again and save as CSV.
* **The file has more than 50 thousand rows. Split it into parts.**
* **There's already an import running for this company. Wait for it to finish.**
* **Couldn't continue right now. Nothing was saved.** Try again.
* **We don't recognize N columns. Choose the field for each one or mark "Don't import".** Adjust it on the **Columns** tab.
* **N invalid phone numbers**: they go to the error list, to download later.
* **More than 24 h passed: it can't be undone anymore.**
* **The import stopped at N%. Nothing was lost.** Use **Resume** in the history.
