# Media library

> Store the team's images, videos, audio files and PDFs and use them in chat, forms and Flows.

## What it is for

You upload the file once and reuse it in chat, forms and Flows. Files are organized in collections.

> Files are accessible by link. Do not upload personal documents (ID cards, tax IDs, contracts).

## Who can do it

Anyone with access to the **Library** tab in the Marketing menu. Editing is limited: the text warns that you only edit your own files, and the server also checks the permission. Files in use can only be archived by the administration.

## Where to click

**Marketing › Library**. On the left are the **Collections** (**All assets**, **Archived** and your own) and the **Storage** meter. Filter by **All**, **Images**, **Videos**, **Audio** or **Documents**.

## Step by step

**1. Choose the collection**

Click a collection so new files go into it. To create one, use **Create collection**.

**2. Upload**

Click **Add media**, or drag the files onto the screen. The screen accepts JPG, PNG, WEBP, GIF, MP4, MP3, OGG and PDF, up to 64 MB each.

**3. Follow the upload**

A panel shows the progress. You can browse the app: the upload keeps going.

**4. Find and use**

Use **Search assets** and **Sort files** (**Recent**, **Name**, **Size**). Click the file to see the details, the **Alt text** and the **Public link**, with **Copy link**.

**5. Organize**

Select several files and use **Move** to send them to another collection, or **Archive / delete selection**.

## What happens next

The files become available to choose from in other places. In forms, for example, **Choose from library** appears. A file marked **In use** cannot be deleted: archive it to take it out of the library without breaking where it already is. **Restore** brings an archived file back. Deleting a collection moves its files to **No collection**.

## Common errors

* "File type not supported in the library"
* "... the limit is 64 MB"
* "Empty file"
* "No space left in the library" / "The library is full": delete files you do not use or use **Ask for more space**.
* "Upload interrupted · try again"
* "The library is unavailable right now. Nothing was uploaded."
* "Your session has expired. Sign in again to open the library."
* "A collection with this name already exists. Choose another name."
* "You do not have permission for this action."
